JOB OVERVIEW:
Venue Sales & Event Coordinator (S.E.C.) is responsible for prospecting and identifying new client opportunities, creating venue rental proposals, selling and servicing recurring clients, building venue and vendor sales relations, and developing lasting sales-generating industry partnerships. The Venue Sales & Event Coordinator position has responsibility both to self-develop sales leads and to contribute to the larger team and overall company sales success. As a part of a sales team structure, this position guides and assists the team in improving productivity and performance on the overall sales goals of the department. We expect the Venue Sales Representative to be onsite at their events, managing and directing onsite staff, when necessary or prescribed to ensure the success of the event.

This is a highly visible position both internally and externally and is a valued point of contact for prospective clients. This role is in person, hourly plus sales commission and bonus opportunities.

This position requires precise attention to details, pressure tolerance, organizational skills and a strong desire to take initiative. This position requires concise communication with co-workers, vendors, and clients. Excellence in customer service skills with a diversified client base must be consistent. Accuracy, diplomacy, timeliness, professionalism, and drive are success factors of this position. The ideal candidate for the Venue Sales and Event Coordinator role is outgoing, responsible, supportive, takes initiative, is a hard worker, problem solver and strategic thinker. The position is a part of a sales team and reports to the Director Sales. Position is the second level of sales within the company and has a career pathway toward sales & event manager and sales & event director within the company’s current structure.

SALES RESPONSIBILITIES:
● Work closely with the Director of Sales & Venue, Venue Sales & Event Assistant, the Venue Facilities Manager, and the Event Operations Department on sales activities and the execution of successful events at the Venue.

● Diplomatically communicate with clients, vendors and venues
● Develop, expand and generate venue rental sales and service add-on sales, such as valet, equipment rentals and security.
● Create custom proposals for venue rentals, manage client expectations throughout the sales process & closes venue rental contracts.
● Create custom proposals for event services for clients that book venue rentals
● Generate new sales inquiries and help build effective systems for sales lead capture.
● Cold call prospective customers to establish new business and create new customer relationships.
● Cultivate Julep’s index of contacts and build business synergy with Snake Oil Cocktail sales.
● Pitch and promote venue catering and bar services and services of Snake Oil Cocktail Company for any clients who are looking for services on and offsite.

● Introduce preferred vendors and work closely with them on contracting and securing clients and overall budgets.

● Get Julep Venue on key venue, vendor and influencer lists & top of mind within the event industry.
● Meet with other venues, vendors, and sales channel partners to develop new sales
● Create effective sales tools, proposals and pitch decks as necessary.
● Work with Julep Venue and Snake Oil Cocktail Company Sales Team, Event Operations Department & Facilities Teams to plan events & execute projects.
● Venue Sales & Event Coordinator will attend client events to ensure event execution meets the vision, prospect new business leads at Julep events, and support any additional add ons.
● As part of a team, on scheduled event days, the Sales & Event Coordinator may be scheduled to participate in the load in or load out of events onsite; connect with vendors as they arrive or depart and close and secure the venue.

● Responsible for communicating all event needs to the Event Operations team, Venue Facilities Manager, and Bar Staff with appropriate recommendations to maximize profit, minimize event costs, and ensure customer satisfaction.

● The Venue Sales & Event Coordinator has the responsibility to make sure each of their events is set up with the necessary tools for success, the client is always properly serviced on the day of the event, and that the client receives a follow-up call or email, when applicable, after the event to ensure customer satisfaction.

● As part of the sales function, Venue Sales & Event Coordinator may be required to manage onsite events, create vendor loading timelines, work with operations to ensure we have timely access and coverage, minimize costs, ensure that event operations details are updated and accurate.

● Manages the Snake Oil bar team on site as needed
● On projects where the Venue Sales & Event Coordinator is the primary contact or sales lead, the role takes primary responsibility for the success or failure of the event from a customer service perspective.

● Venue Sales & Event Coordinator’s ability and efforts to foresee important event details and communicate logistics/program needs clearly between Client, venue, Snake Oil Cocktail Company and vendors is an extremely important function of the position.

● Venue Sales & Event Coordinator is responsible for tracking their sales and leads, and for keeping accurate & up to date company sales reports for the team.

● Venue Sales & Event Coordinator is responsible for the timely collection of all rental deposits and other payment for projects they have closed.

● Venue Sales & Event Coordinator should come prepared with accurate information and updates for weekly sales meetings including the current weekly operations and sales team meetings with Snake Oil Cocktail Company.

● Venue Sales & Event Coordinator should be available to speak with the Director of Sales and Executive Leadership regularly to brainstorm new potential leads or channels of business to improve sales and provide reporting data on leads, sales and booking metrics.

● Collaborate with Snake Oil Cocktail team for menu ingredients, descriptions and pricing
● Maintains precise communication and enlists cooperation among all departments; sales, mixology, kitchen, marketing, warehouse, operations, etc.
● Supports the Sales & Event Assistant process to systematically gather, review files of all event documents including: Proposals, Banquet Event Orders, Kitchen Sheets, Invoices, Statements, Vendor orders, COI’s, etc. and ensure they are accessible in a binder format for the day of the event.

● Has an acute awareness of the cleanliness of the venue, notices items that need to be picked up or cleaned and addresses issues personally and assigns these tasks in a timely fashion when needed

● Informs Facilities Manager and Executive Leadership Team of repairs or maintenance needs around the property on a regular basis

● Position requires reliable transportation and flexible scheduling including evening and weekends

● As a Snake Oil Cocktail Company employee, the position will primarily support venue event functions, however, duties may be assigned to support the team with Cocktail Graffiti orders, virtual barstool and other Snake Oil activations as necessary.

● Performs other duties as may be assigned.
● Assist in building systems to support these duties.
● Assist as a point of contact to the multiple vendors coming in for Julep events, vetting them for service and communicating venue guidelines and rules.
● In partnership with the Sales & Event Assistant, collect and track required documents from vendors to ensure compliance with house rules and regulations.

SCHEDULE

This is an hourly, in person position, with an expectation that 30-40 hours per week will be required, with some overtime as scheduled. Nights, weekends and holidays are an industry expectation and a requirement for employment. This is not a remote position and is fully in person. Schedule varies, based on the event calendar and team assignments to attend events.

PHYSICAL DEMANDS

COMPENSATION
Hourly Rate: $22-$25
Commission: 2% of Individual Venue Sales, paid bi-weekly
Goal Commission: Range of .25%-.50%, pending attaining sales targets, as set annually by executive management
